Cake Beauty Brand and Customer Service Ambassador The ideal candidate is a quick learner, possesses excellent organizational skills, efficiency (like that of a swiss watch), outstanding customer service savvy and a true love of the beauty. A true passion for sales and for representing the brand through both selling and teaching retail sales staff. Cake Beauty is a positive, nimble and truly fast paced Canadian company and is looking for someone to complement the team and truly represent this amazing brand. Ideally, our perfect match will be comfortable speaking and writing in both French and English – a true Canadian ambassador.

Reporting to the New Product Development & Supply Chain Manager, the Brand and Customer Service Ambassador will be the primary point of contact for all Cake Beauty customers. The individual will be responsible for fielding all incoming orders and queries in a proactive, accurate and enthusiastic manner ensuring that all current and potential customers have their needs met or exceeded.

Additional responsibilities include organizing and maintaining the general office logistics, such as sorting mail, ordering office supplies, co-ordinating pick ups and deliveries and will take pride in ensuring the smooth and efficient running of all office traffic.



Daily Responsibilities include

Order Processing

• Receipt & verification of all purchase orders via fax, phone & email from independent retailers, and chain accounts such as Sephora, HBC, Indigo and Beauty Brands etc.
• Review of inventory on hand to confirm optimal fill rates
• Entering of the orders into the QuickBooks System for accurate picking / packing & timely invoicing
o Experience with QuickBooks or other billing/inventory systems is a plus but not required.
• Set up and maintenance of contact details in customer database in QuickBooks for accurate order processing.
• Verification of payment terms on orders (ie: net 30) or receipt of payment & processing for credit card accounts using the visa/debit machine
• Weekly report of credit card payments received printed and provided to accounts receivable, from visa / debit machine
• Receipt and organization of tracking numbers from the warehouse to ensure orders were picked and shipped as required

Customer Service (Primary Point of Contact for Cake Beauty retail and direct customers)
• Daily review of “Contact us” e-mails from cake web-site, will require the queries are forwarded to the appropriate cake team member for response or answered within 24hrs using standard “approved” cake terms & language
• Maintaining/updating list of retailers and contact database.
• Taking all orders by phone, tracking of orders & responding to customer queries must be top priority to ensure 100% customer satisfaction at all times
• Working as the “liaison” between the warehouse & head office in relation to all customer orders and requirements

Brand Ambassador
• Participate and manage external Cake Beauty events (some evenings and weekends)
• Supports and conducts training initiatives in the retail settings across Canada (some travel required)
• Always excited about learning and sharing with others information on products, ingredients and points of difference between Cake Beauty and other brands (there are so many)

Office Co-ordination
• Daily Sorting of incoming mail
• Ordering of office supplies from Staples etc. as needed
• Co-ordinating courier pick ups & deliveries via local couriers and FEDEX
• Packing gift sets and assisting to pack and ship press mailings & product samples
• Ensuring that the phone system & messages are updated as required
• General tidying of the office to keep clean & organized (we all do it)
• Tracking of employee product requisitions.
• Bi-weekly ordering of products for head office replenishment.
